How a PropID report works
A 5-minute walkthrough of what to expect, how the photos are captured, what the AI does, and how lenders or insurers verify what they receive.
1. You receive an invite link
Your broker, lender, or PropID admin sends you a one-time invite link. Open it on your phone — preferably the device you'll be using to take the photos. The link is good for 7 days and tied to your email.
2. Confirm property details
You'll be asked to confirm the property address (with autocomplete), enter basic facts like square footage and year built, and indicate whether systems like the furnace and air conditioner are owned or rented.
Don't worry about being perfect — your admin can fix anything that turns out wrong before the report is finalized.
3. Take GPS-stamped photos at the property
This step has to happen at the actual property. PropID asks for location permission and verifies your GPS reading matches the address you entered. You'll then walk through a checklist of rooms — front exterior, kitchen, bathrooms, bedrooms, basement, mechanical systems, and so on.
Each photo is stamped with the address, GPS coordinates, and the exact time it was taken — burned into the image itself, not just metadata. This is what makes the report verifiable later.
Tips for a clean capture
- Take photos in natural light when possible. Daylight is best.
- Stand back and capture the whole room rather than close-ups of fixtures.
- For exteriors, capture the full facade — lenders care about curb-facing condition.
- Don't worry about staging; lived-in shots are more credible than empty ones.
4. Submit and wait briefly
Once all required photos are captured, you'll review a one-page summary, agree to the privacy policy and terms, and submit. You'll usually receive your verified PDF report within an hour.
5. The PDF report
The report runs around 8 to 10 pages and includes:
- A cover page with hero exterior, property snapshot, and an estimated value range
- A GPS verification page showing your capture point against the entered address on a map
- A valuation analysis page with a six-tier condition rating and the AI's reasoning
- A comparables page with recently sold properties, optional reference comps, and current active listings
- The full photo evidence — six photos per page, each with its room label, GPS, and timestamp
- A declaration page with a QR code for instant verification
6. Anyone can verify it
Every report has a unique ID like PROPID-A7C6-EF9F and a QR code on the cover. A lender, insurer, or anyone you share the report with can scan the code or visit app.propid.ca/verify and confirm:
- That the report was issued by PropID
- That the property details and photo count match what's printed
- That the document hasn't been tampered with since it was generated
The verify page only shows the city and postal code — it doesn't expose the full address, value, or any private detail. The full report stays between you and whoever you share it with.
Frequently asked
What if I make a mistake?
Common ones (wrong square footage, wrong year built, missed a room) can be fixed by your admin from the dashboard. If a critical photo needs to be retaken, the admin can issue a targeted retake link that lets you redo just that one shot.
How long does the AI take?
Usually a few minutes. The AI does a vision pass on every photo to assess condition, then a separate web search against HouseSigma, Realtor.ca, Zolo, and Zoocasa to find comparable sales. Both run in parallel.
Can I get a digital copy too?
Yes. You'll receive an email with a download link to the PDF. The link expires after 7 days for security.
Is this an appraisal?
No. PropID provides verified documentation and an AI-generated value estimate for reference only. It is not a formal appraisal, home inspection, or professional valuation.
