This Privacy Policy describes how PropID ("we", "us", or "our") collects, uses, and shares information when you use our GPS-verified property documentation platform ("Service"). By using the Service, you agree to the collection and use of information as described in this policy.
1. Information we collect
When you use PropID we collect:
- Identity information — your name and email address
- Property information — address, property type, bedrooms, bathrooms, square footage, year built, mechanical systems, and any notes you provide
- GPS coordinates — your precise location at the time of property documentation, used to verify physical presence at the property
- Photographs — GPS-stamped photos of each room, permanently embedded with coordinates and a timestamp
- Device and usage data — browser type, IP address, and timestamps of access
2. How we use your information
We use the information we collect to:
- Generate your GPS-verified property documentation report
- Verify that documentation was completed at the stated property location
- Share your report with authorized parties such as mortgage lenders, insurance providers, and real estate professionals, as directed by you or your broker
- Improve the accuracy and quality of our platform
- Communicate with you about your report status
- Comply with legal obligations
We may use submitted data in aggregate, anonymized form to improve our AI analysis models. We will never use your personally identifiable information for advertising purposes.
3. GPS data collection
GPS location data is a core part of how PropID works. When you use the Service, we capture your device's GPS coordinates at the time of each photo and embed them permanently into the photograph. This data is used exclusively to verify property documentation authenticity. We do not track your location at any other time or for any other purpose.
If you decline to share your location, your report will be flagged as unverified and may not be accepted by lenders or insurers.
4. Photo usage rights
By submitting photographs through PropID, you grant us a non-exclusive, royalty-free licence to store, process, and share those photographs as part of your property report. Photos may be shared with:
- Mortgage lenders reviewing your application
- Insurance providers assessing your property
- Real estate professionals involved in a transaction
- PropID administrators for quality review purposes
We do not sell your photographs to third parties or use them for marketing without your explicit written consent.
5. Data sharing
We do not sell your personal information. We may share your information with:
- Service providers — Supabase (database and storage), Vercel (hosting), Resend (email delivery), and Anthropic (AI analysis). Each is bound by data processing agreements.
- Authorized professionals — lenders, insurers, and realtors, as directed by you or your broker
- Legal authorities — if required by law or valid legal process
6. Data retention
We retain your report and associated data for 7 years from the date of submission, in accordance with standard real estate documentation requirements in Ontario, Canada. After this period, your data is permanently deleted from our systems.
You may request early deletion of your data at any time (see Section 8).
7. Data security
All data is stored on Supabase infrastructure with row-level security enabled. Photos are stored in private buckets accessible only via time-limited signed URLs. All data in transit is encrypted using TLS. Access to the admin dashboard is password-protected.
8. Your rights
You have the right to:
- Request a copy of the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your data (subject to legal retention requirements)
- Withdraw consent for future processing
To exercise any of these rights, contact us. We respond within 30 days.
9. Children's privacy
PropID is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page with an updated effective date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
